Privacy Policy
This policy explains what information our school management platform handles, why, and how it is protected. It covers our website, the school dashboard, the teacher app and the parent app.
1. Who is responsible for what
When a school uses our platform, the school decides what student, parent and staff information is recorded and why. The school is the data fiduciary for that information. We act as its data processor: we store and process the information only to provide the service the school has asked for, and only on the school's instructions.
For information you give us directly, such as when you sign up for a trial or write to our team, we are responsible for it.
2. Information we handle
On behalf of schools
- Student records: name, class, section, roll and admission numbers, date of birth, photo, attendance, marks, report cards and transport route.
- Parent and guardian details: names, mobile numbers, email addresses and relationship to the student.
- Staff records: names, roles, subjects, timetables, attendance and leave.
- Fee information: fee structures, dues, concessions, payment status and receipts. Card and UPI details are handled by the payment gateway and never stored by us.
- Bus location data from GPS devices on school vehicles, during trip times.
From website visitors and trial sign-ups
- Details you enter in our forms: your name, email, role, school name, city, board, student numbers and your message.
- Basic technical information such as browser type and pages visited, used to keep the website working and secure.
3. How information is used
- To run the modules the school uses: admissions, fees, attendance, timetables, report cards, the parent app and transport.
- To send messages the school has set up, such as absence alerts, fee reminders and notices, by WhatsApp, SMS, email or app notification.
- To create trial accounts, send login details and help schools set up.
- To provide support, fix problems and keep the platform secure.
We do not sell personal information, and we do not use school, student or parent information for advertising or to build marketing profiles.
4. The AI Teacher Assistant
The AI Teacher Assistant works with syllabus content and the teacher's request. Student names, marks and contact details are not sent to it. School content is not used to train public AI models. Only teachers use the assistant, and students do not interact with it.
5. Who can see information
- Inside a school, access is role-based. For example, a class teacher sees their own classes, and accounts staff see fee records.
- Parents see only information about their own children.
- Bus locations are visible only to parents of children on that bus, during trip times, and to authorised transport staff.
- Our staff access school data only to provide support the school has requested, or where needed to keep the service secure.
6. Service providers
We use carefully chosen providers for cloud hosting, payment processing, messaging (WhatsApp Business, SMS and email) and mapping. They process information only to provide their service to us and are bound by confidentiality and data-protection obligations.
7. Security
- Data is encrypted in transit and at rest.
- Changes to marks, fees and attendance are logged with who made them and when.
- Regular backups are kept so that school records can be restored.
- Staff accounts can be protected with one-time passwords.
8. Retention and deletion
School data is kept for as long as the school uses the platform. When a school leaves, it can export its data, after which we delete it within 90 days, except where the law requires us to keep certain records such as invoices. Trial accounts that do not continue are deleted after the trial ends, unless the school asks us to keep them for a short time.
9. Your rights
Under Indian data-protection law, including the Digital Personal Data Protection Act, 2023, you can ask to see, correct or erase personal information, and withdraw consent. If your information was recorded by a school, please contact the school first, as it controls that information. We will help the school respond. For information you gave us directly, write to us through the Connect Team page.
10. Children
Students are children, and their information gets extra care. Read our Child Data Policy for the specific commitments we make.
11. Changes to this policy
If we make a material change, we will tell schools using the platform before it takes effect.
